Job Description
We’re hiring a highly skilled Administrative Coordinator to provide comprehensive support to our Management Team, including the Managing Director/EVP and Department Managers. This role is ideal for a proactive, organized, and resourceful professional who can anticipate needs, manage priorities, and ensure smooth operations
As a trusted administrative partner, you will coordinate workflows across departments, support strategic initiatives, and keep leadership focused on business growth. This position is hands-on, fast-paced, and central to the firm’s day-to-day operations.
What You’ll Do
Executive Support
- Provide high-level administrative support, including calendar management, travel coordination, expense reporting, and professional correspondence
- Draft, proof, and edit reports, presentations, and communications
Meeting & Event Management
- Schedule, organize, and prepare materials for internal meetings
- Take ownership of agendas, logistics, and follow-up action items
- Coordinate internal events and special initiatives
Strategic & Operational Support
- Anticipate needs and proactively address potential issues
- Support business development efforts, including maintaining the business development database and assisting with project setup
- Conduct research and prepare executive briefings to support decision-making
Liaison & Relationship Management
- Build strong working relationships across teams and with external partners
- Handle sensitive and confidential information with discretion
Office & Team Support
- Collaborate with staff to enhance efficiency and operational workflows
- Support special projects, presentations, and organizational initiatives
Qualifications
- 7–10 years of experience as an Executive Assistant or Administrative Coordinator
- Bachelor’s degree in Business Administration or related field preferred
- Exceptional organizational skills with the ability to multitask and prioritize effectively
- Strong written and verbal communication skills, including professional business writing
- Proficiency in Microsoft Office Suite, SharePoint, and Google Workspace
- Experienced with Zoom and Microsoft Teams for virtual collaboration
- Demonstrated sound judgment, discretion, and professionalism
- Strong initiative, problem-solving abilities, and resourcefulness
- Polished interpersonal skills and executive presence
Licenses/Certifications:
- Valid driver’s license
